Job Description

Under the supervision of the Plant Manager, the Purchasing and Administrative Agent will be responsible for purchasing and maintaining inventories while performing various administrative tasks in order to support the management team in their daily life.
TASKS AND RESPONSIBILITIES
- Provides administration support to ensure efficient operation of the office to all departments including answering phone calls, scheduling meetings and supporting visitors;
- Carries out administrative duties such as filing, typing, scanning, updating office records and databases that contain personnel, financial and office data;
- Welcomes and signs in visitors at reception;
- Delivers incoming mail to the staff and prepares outgoing mail;
- Oversees office supplies and contracted services, including restocking office and cleaning supplies and follows up with service providers;
- Helps organize office and social activities;
- Assists Purchasing Leader in the purchase, coordination, inventory and reception of raw materials for production as required;
- Processes, records and files invoices as needed;
- Collaborating with the HR department with recruitment and screening of potential candidates;
- Assists HR and department managers with onboarding of new employees;
- Performs all work as requested by supervisor;
Education
Experience Required
EDUCATION
Diploma in studies related to administration (Asset)
KNOWLEDGE AND COMPETENCIES
1 to 3 years of experience in an office environment (Required)
Proficiency in Microsoft Office (Required)
Experience in supply chain or procurement (Asset)
Must speak French fluently (Required)
SKILLS AND ABILITIES
Knowledge in basic computer programs
Excellent written and oral communication skills
High attention to detail
Courtesy and commitment
Adaptability and flexibility to adjust priorities
Maintaining confidentiality in the workplace
Teamwork ability
WORKING CONDITIONS
Office work (90% of the time)
Production floor (10% of the time: inventory)
