Job Description
Burgessville Grain & Feed Inc. is a growing business with an established clientele. We are a family owned and operated feed mill and provide Ontario swine, ruminant, and cattle producers with commodities, grains, and feed ingredients.
We are currently hiring for A/R & Compliance Coordinator to join our team working from our location in Burgessville, Ontario. The primary focus of this role is ensuring accurate and timely invoicing, and maintaining customer account records and implement programs and policies to address fleet maintenance and safety, driver safety and ensure compliance with regulations related to industry. This is a full-time position Monday – Friday 8:30 - 5:00pm.
Key Responsibilities
A/R Duties
· Generate and distribute customer invoices in a timely manner
· Maintain detailed records of billing, payments, and collections activity
· Communicate with customer to resolve billing questions
· Monitor accounts for outstanding balances and follow up on overdue accounts
· Monthly Inventory Reconciliation
· Create monthly statements
· Provide credit reference information upon request
· Handling incoming calls in a professional manner
· Create a quarter employee newsletter
· Provide assistance on Social Media Updates
· Other office duties as required
Safety & Compliance Duties
· Ensure compliance with ALL relevant commercial transportation regulations in the US and Canada
· Maintain all equipment files and invoices (trucks, trailers) & maintain the Preventive Maintenance Program
·Ensure all trucks and trailers have all necessary documents, authorities, permits, and plates updated in document binders.
· Monitor and review ELD compliance and accuracy and correct issues
· Manage and maintain all driver employment files. ensuring all documents are up to date (current valid Driver license copy, FAST Card, Passport, etc.)
· Conduct and/or assist with accident/collision and incident reports
· Plan and coordinate yearly safety meeting for all truck drivers
· Produce monthly CVOR violation
· IFTA and New York State Tax
· Backup for processing truck crossing border paperwork
· Maintain company health and safety policies and procedures including hazard prevention programs
Education
Experience Required
· High school diploma or equivalent required; post-secondary education is an asset
· Experience in account receivable and or trucking safety and compliance
· Proficiency in accounting & trucking software programs (e.g. QuickBooks, Fleetio, Big Road and MS Office)
· High degree of accuracy and attention to detail
· Strong communication skills with a primary focus on phone communication
· Advanced understanding of MTO, DOT, NSC, and FMCSA regulations
· Customer service skills, analytical, and problem-solving attributes
· First Aid Certificate is an asset but not required
