Be at the Heart of Our Operations—Join Our Team as a Payroll & Accounting Coordinator!

We’re seeking a Payroll and Accounting Coordinator to manage full-cycle payroll using Ceridian Dayforce and support various accounting functions.

In this role, you’ll handle everything from payroll processing and audits to journal entries and benefit reconciliations. You’ll also be a key partner with HR and third-party providers, ensuring smooth payroll and benefits operations.   • Additional hours may be required at times to perform the responsibilities of the role

Responsibilities:

Payroll Functions:

  • Complete bi-weekly payroll processing for hourly and salaried employees using Ceridian Dayforce HCM, including variable pay, commissions, bonuses, and final pay calculations for off-boarding
  • Maintain and update all payroll, benefits, and employee data within Dayforce HCM, ensuring accuracy and compliance with government legislation and company policies
  • Process payroll adjustments related to new hires, terminations, taxable benefits, earnings, deductions, hours worked, commissions, vacation, and leaves
  • Conduct audits and verify Time and Attendance records to ensure accurate compensation for statutory holidays, vacation, and sick leave
  • Prepare, verify, and audit payroll reports, including headcount, overtime, discrepancies, statutory deductions, and year-end procedures such as T4 verification and CRA remittance balances
  • Reconcile remittances and liability payments, including journal entries to the general ledger for WSIB, Health and Benefits, EHT, Source Deductions, and employee garnishments
  • Respond promptly and professionally to employee payroll inquiries, providing payroll advice and support to Executives, HR, Managers, and employees
  • Reconcile benefit premium invoices with employee deductions and taxable benefits for Life, AD&D, LTD, and other health benefits; coordinate with benefit providers to resolve discrepancies
  • Prepare and submit Records of Employment (ROEs) for terminated employees and assist with onboarding documentation and off-boarding processes
  • Provide training to new employees and supervisors on timesheet entry, submission, and approval processes
  • Maintain and organize all payroll-related files and documentation, ensuring accuracy, consistency, and relevance to business processes
  • Collaborate with HR to assist employees with benefits enrollment, changes, and general inquiries regarding health insurance and leaves of absence
  • Serve as a liaison between employees and third-party providers regarding payroll and benefits matters, supporting management with payroll and benefit transaction inquiries
  • Recommend and implement improvements to payroll processes and procedures, and assist in payroll projects to enhance efficiency and accuracy
  • All other payroll duties as assigned

Accounting Functions:

  • Prepare payroll journal entries, calculate payroll accruals, and post all related entries to the general ledger, ensuring accurate monthly and quarterly reconciliation and reporting
  • Complete year-end reconciliations and filing requirements in compliance with accounting standards
  • Review employee expense submissions for accuracy, completeness, and adherence to corporate policies
  • Collaborate within the team by providing coverage during absences and assisting with accounting projects and process improvements as assigned
  • Execute all accounting functions related to payroll processing and support the accounting team with account reconciliations and reporting
  • All other accounting duties as assigned

Education

Post Secondary Degree

Experience Required

Qualifications:

  • A minimum of three (3) years of payroll experience in a medium-sized company (150+ employees), utilizing payroll systems and software
  • Proficiency in basic accounting practices, including journal entries and reconciliations
  • Completion or progress towards the Payroll Compliance Practitioner (PCP) certification is preferred
  • Comprehensive understanding of Canadian payroll practices and standards; experience with Canadian Federal Labour laws is an asset
  • Familiarity with Ceridian Dayforce and Sage 300 is advantageous
  • Intermediate proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook

  • Strong verbal and written communication skills
  • Ability to handle tight deadlines calmly and effectively in a fast paced environment
