Job Description

The Office coordinators for Maple Grove is working at our front office and thereby the “face of Maple Grove” in some ways. They carry out administrative and program assistance activities. As a primary contact for Maple Grove, they must exhibit professional written & verbal communication. They must also always maintain personal and professional discretion as they have access to banking and personal information for Lot Leaseholders and guests. The Office coordinator works closely with the Bookkeeper and The Admin and Programs Coordinator to create bank deposits and other financial reports as needed. The employee will gain valuable life and professional skills that are directly transferable into many careers. They will learn communication skills, prioritizing daily tasks, attention to detail and customer service.

Job Responsibilities:

Secretarial and Administrative

  • Answering the phone and responding to phone messages. 
  • Collect mail from the office mail chute. 
  • Answering questions relating to cabin, trailer and tent accommodations. 
  • Assisting guest groups who come to the office, sharing the camp map with them and marking their lot location. It is important to review our code of conduct and quiet hours with them.
  • Processing payments, these could be rental charges, Lot Leaseholder fees or program sign up fees.
  • Assistance with monitoring office and housekeeping supplies, and their orders when required. Maintain and update Campspot, our online booking system. 
  • Work with the Admin and Programs Coordinator to plan and update staff schedules, reconciling the staff timesheets to schedules week by week. 
  • Print off Bookkeeper documents and assist with filing, as required. Treat all information as highly confidential and refrain from sharing any information with others outside of the Executive Director, Bookkeeper and Office Staff.

Program Assistance

  • Assist the Admin and Programs Coordinator and/ Executive Director with administrative activities that support program/event operation. This could include assisting campers with program sign up on our office devices, the issue or registration packs, supply of stationery to program leaders and updating of notice boards. 
  • Work with the Admin and Programs Coordinator and the Bookkeeper program lead to reconcile income for each program received through program fees and fundraising that day. 
  • Meet with the Executive Director after each program/event to give an in-person report back on office operation and effectiveness, with lessons learned. 
  • Cover hours in the Cafe/Market store as required.

Camp Cover

  • Work closely with other staff including Executive Director, Bookkeeper and Board of Directors, as required. 
  • Comply with Maple Grove’s Statement of Faith, policies and procedures and Code of Conduct

Experience Required

Skills & Competencies: 

  • Strong communication and interpersonal skills, with the ability to engage with staff, volunteers and guests in a professional and friendly manner. 
  • Basic knowledge of inventory management and accounting systems. 
  • Some experience in office admin would be preferable.
  • Ability to work in a team environment and collaborate with other staff to achieve camp goals. 
  • An organized and detail orientated individual who works well under pressure.

Additional Requirements:

  • Must be available to work flexible hours, including weekends, evenings and holidays.
  • Must have a positive attitude, strong work ethic and willingness to learn, 
  • Staff uniform is required,

Compensation and Benefits

16 weeks at 40 hours a week

$18.00/hour
