Payroll and Benefits Coordinator

Execulink Telecom is hiring a Payroll & Benefits Coordinator to manage full-cycle payroll using Ceridian Dayforce HCM, support benefits administration, and help keep our financial operations running smoothly. Position Details:

  • Required to work in office a minimum of 3 days per week 
  • Hours of Work
  • Monday to Friday 8:30am – 5:00pm
  • Additional hours may be required at times to perform the responsibilities of the role

Responsibilities: 

Payroll Processing & Coordination

  • Process bi-weekly payroll, ensuring accuracy, completeness, and timeliness
  • Validate that all payroll inputs (timesheets, expenses, new hires, benefits changes) are received and accurate prior to processing
  • Perform payroll data entry, including employee expense reimbursements
  • Coordinate with internal teams to confirm payroll readiness and proactively resolve discrepancies
  • Support payroll accounting activities, including journal entries and accruals

 

Employee Data, Benefits & Time Management

  • Administer new hires, including transferring employee data from recruitment systems and maintaining records in payroll systems
  • Manage and validate timesheets from multiple systems; follow up with managers to ensure timely and accurate submissions; provide training to new employees and supervisors
  • Maintain and update employee benefits (health, dental, RRSP, etc.), including enrollments, terminations, and life event changes
  • Update vacation balances and ensure all employee records and system data remain current

 

Reporting, Compliance & Continuous Improvement

  • Perform payroll balancing, reconciliation, and error resolution
  • Generate payroll, audit, and ad hoc reports to support compliance and decision-making
  • Administer final pay calculations for off-boarding, commissions, referrals, variable pay, bonuses, and other incentives   
  • Review processes for accuracy and efficiency; identify and implement improvements
  • Ensure compliance with internal policies, payroll regulations, and statutory requirements
  • Monitor and respond to payroll inquiries via shared inbox, providing timely and professional support
  • All other duties as assigned

Education

Secondary School Diploma

Experience Required

Qualifications:

  • Minimum of three (3) years payroll experience in medium-sized companies (150+ employees) using payroll systems
  • PCP certification preferred; strong knowledge of Canadian payroll and Federal Labour laws
  • Experience with Ceridian Dayforce and Sage 300 is an asset
  • Proficient in accounting, including journal entries and reconciliations
  • Intermediate Microsoft Office (Excel, Word, PowerPoint, Outlook)

  • Knowledge of federal payroll laws, regulations, and accounting processes
  • Professional, tactful, and diplomatic; strong verbal and written communication
