Job Description

Job Description:

 

The Chamber Office Assistant will review and update membership records, support member engagement and recruitment efforts, and assist with day-to-day office operations. This position involves researching and updating business contact information, organizing membership databases, and helping develop outreach and recruitment materials. The role also provides administrative support through document preparation, filing, event coordination, communications, and basic bookkeeping assistance. Additionally, the assistant contributes to community awareness initiatives by supporting website updates, social media content, newsletters, and overall office organization to ensure efficient operations and strong member relationships.

 

Location: Hybrid with a mix of in-office work done at Thompson Goossens Accountants in Norwich, ON, and remote work.

 

Duties and Responsibilities:

 

1. Membership List Cleanup & Data Management (Primary Task Area)

a. Review the Chamber’s current membership list and identify: Businesses that are no longer active Outdated contact information Duplicate or incomplete records

b. Conduct online research and phone/email outreach to verify business details.

c. Update the membership database with current and accurate information.

d. Organize the list into categories (active, inactive, prospective) as directed. Build and maintain a prospective member list for future outreach.

 

2. Member Engagement & Recruitment Support

a. Assist in preparing outreach communications (email templates, phone scripts, etc.).

b. Contact local businesses (under guidance) to introduce Chamber offerings and obtain updated contact details.

c. Help compile a “New Member Recruitment Package” for 2026–2027.

d. Track outreach activity and report progress to the Executive Administrator and Board.

 

3. Administrative & Office Support

a. Assist the Executive Administrator with general office tasks, including:

i. Email correspondence

ii. Filing and organizing digital documents

iii. Social media scheduling (if applicable)

iv. Event support (registration lists, signage, materials preparation)

v. Support the Treasurer with light bookkeeping tasks (e.g., preparing lists, data entry, record checks—no financial decision-making). Support Board members by preparing documents, meeting materials, and summaries as requested).

 

4. Communications & Community Awareness

a. Help update the Chamber’s website or social media posts with current member information (if applicable).

b. Draft short business spotlights or member updates.

c. Assist in preparing newsletters or other member communications.

 

5. Office Organization

a. Help organize the Chamber’s physical and digital files.

b. Support the transition to any new systems or improved recordkeeping tools.

c. Maintain a tidy and functional shared workspace.

Experience Required

Qualifications:

 

· Proficiency in Microsoft Office and Google Drive

· Oral and written communication skills

· Organizational skills

· Positive, professional, and engaging attitude

· Currently enrolled as a student in either secondary or post-secondary school or recent graduate and be between the ages of 15 and 30 at the start of employment

· Hold a valid Social Insurance Number (SIN)

· Be a Canadian citizen, permanent resident, or a person with official refugee protection

· Legally entitled to work in Canada

Compensation and Benefits

This is a temporary full-time summer position funded through the Canada Summer Jobs program. 

Compensation is $17.60 per hour for 35 hours per week.
