Job Description

Location: Remote or hybrid with occasional on-site availability (Maple Grove Christian Retreat Centre – Thamesford, ON)

Reports To: Executive Director

Start Date: As soon as possible

Employment Type: Part-time employee or independent contractor (negotiable) 

Hours: Approx. 8–15 hours per week 

Position Overview

Maple Grove Christian Retreat Centre is seeking a skilled and reliable Bookkeeper to manage day-to-day financial transactions, payroll, and CRA compliance for our year-round faith-based organization. This role ensures the accurate recording and reporting of all financial data and supports the Executive Director and Finance Committee in maintaining financial integrity. This position can be structured as either a part-time employee role or as an outsourced bookkeeping contract, depending on availability and interest.

Key Responsibilities 

  • Maintain accurate and up-to-date records in QuickBooks Online
  • Process Accounts Payable: receive and pay invoices, track expenses, assign to appropriate bank accounts and categories 
  • Process Accounts Receivable: record all income including e-transfers, cheque deposits, and online payments 
  • Complete bi-weekly payroll and ensure accurate source deductions 
  • Prepare and process monthly remittances (Source Deductions, WSIB) 
  • Process quarterly HST installment payments and file annual HST return (including charity rebate) 
  • Maintain records of donations in donation tracking software 
  • Prepare and issue annual donation tax receipts 
  • Generate and distribute monthly financial reports (bank reconciliations, income statements, balance sheets) for the Executive Director and Finance Committee
  • Invoice annual Lot Leaseholder fees and track hydro usage using established spreadsheets 
  • Update internal tracking spreadsheets related to capital projects and designated giving 
  • Prepare year end statement and schedules for the annual audit and work alongside Treasurer and auditors. 
  • Attend Finance Committee meetings as needed (virtually or in person)

Structure & Flexibility 

This role may be structured as:

Option 1: Part-Time Staff Position

  • 8–15 hours/week on average
  • Year-round with a flexible weekly schedule
  • Some seasonal flexibility (more hours during audit prep or donation receipting)

Option 2: Outsourced Consultant / Contractor

  • Remote role with agreed-upon monthly deliverables
  • Invoice monthly or by milestone 
  • Access to Maple Grove’s financial systems (QuickBooks, donation software) provide

About Maple Grove Christian Retreat Centre

Maple Grove has served since 1947 as a place to facilitate ministries that make and grow disciples of Jesus Christ. Our retreat centre includes seasonal and overnight guests, 120 Lot Lease Holders, and camp-owned accommodations. With 150 acres of farmland, forest, and retreat amenities, we are active year-round, with a high season from May to October.

What We’re Looking For

Required: 

  • Minimum 5 years of bookkeeping or accounting experience preferably with an accounting diploma or CPA degree
  • Proficiency and experience in QuickBooks Online, including payroll processing 
  • Understanding of non-profit or charitable financial requirements
  • Strong attention to detail and organizational skills 
  • Ability to work independently and meet monthly deadlines 
  • Solid working knowledge of Microsoft Excel or Google Sheets 
  • Ability to maintain confidentiality and professionalism 
  • Willingness to align with the Christian mission of Maple Grove Christian Retreat Centre 

Preferred:

  • Experience with donation software and CRA charity filing requirements 
  • Familiarity with non-profit audits or preparation of charity reports 
  • Prior work with ministries, retreat centres, camps, or churches
  • Located within driving distance of Thamesford, ON (occasional site visits may be needed)
