OVERVIEW

Reporting to the Install Manager, the Administrator (Install) plays a pivotal role in ensuring the smooth functioning of both office and on-site operations. The ideal candidate will possess strong knowledge in various administrative functions, exhibit reliability, and demonstrate high efficiency. If you have excellent attention to detail and are proficient in computer applications, this position might be the perfect fit for you.

THE DAY TO DAY 

  • ADP Timekeeping: Fill in all missed punch times in the ADP system to ensure accurate records of employee attendance.
  • Crew Schedule: Create and distribute a daily crew schedule to individual team members.
  • Equipment Coordination: Order cranes for GT (General Technology) jobs and grout for all installation projects.
  • Logistics Management: Handle logistics such as booking hotels, obtaining receipts, and coordinating overnight stays.
  • HR Record Keeping: Update ADP with information regarding sick days, WSIB (Workplace Safety and Insurance Board) claims, vacation days, and overnight stays.
  • Payroll Approval: Biweekly, approve payroll transactions for employees.
  • Crew Scheduling: Schedule installation crews using the ADP system.
  • Database Maintenance: Update all installation sites and worker information in the SALUS database.
  • Contact List Management: Maintain an up-to-date Install Contact List, including cell phone numbers.
  • Supply Coordination: Schedule deliveries of supply-only AG (Agreement) products, coordinating with customers and carriers. Manage customs requirements for US jobs.
  • Invoice Approval: Review and approve Stampli invoices related to installation projects.
  • Drawing Creation: Generate wall pre-stacking drawings as needed.
  • CAD File Export: Export CAD files for project use.
  • Cost Analysis: Participate in the awarding of skim coats and maintain the "Cost of skim coat analysis" spreadsheet.
  • Vehicle Maintenance: Schedule vehicle maintenance in collaboration with relevant personnel.
  • Project Updates: Provide weekly installation updates and site pictures.
  • Purchase Orders: Create purchase orders (POs) in NetSuite and send them to subcontractors.
  • Ticket Management: Handle crane and grout tickets for accounting purposes.
  • Event Planning: Assist in planning installation-related events.
  • Invoice Management: Approve crane and rental invoices based on agreed-upon price lists.
  • Scheduling Optimization: Get involved with grout and load scheduling, focusing on grout truck utilization. Suggest load changes as necessary to accommodate project needs.

Compensation and Benefits

Salary Range:$50,000.00 To $75,000.00 Annually
